Luxor Nursing and Rehabilitation at Mills Pond is seeking an experienced
Administrative Assistant to work at our skilled nursing facility in St. James, NY. The ideal candidate is highly organized and detail-oriented & can excel in a fast-paced nursing home environment. This role provides direct clerical and administrative support to leadership and plays a key part in maintaining efficient office workflow.
DUTIES:- Provide administrative and clerical support to facility leadership
- Manage phone calls, emails, and general correspondence
- Maintain organized filing systems (electronic and paper)
- Prepare reports, spreadsheets, and documents using Microsoft Office
- Assist with scheduling, meetings, and calendar management
- Support Accounts Payable functions, including invoice tracking and data entry
- Assist with HR-related tasks such as onboarding paperwork, employee files, and compliance documentation
- Coordinate with multiple departments to ensure smooth daily operations
- Handle confidential information with professionalism and discretion
REQUIREMENTS:- Prior administrative experience required (healthcare or nursing home preferred)
- Strong working knowledge of Microsoft Office (Word, Excel, Outlook required)
- Experience with Accounts Payable processes preferred
- HR/Personnel experience or exposure strongly preferred
- Excellent organizational and multitasking skills
- Strong communication and interpersonal abilities
- Ability to work independently and meet deadlines in a fast-paced environment
